These Terms & Conditions (“Terms”) govern your use of the Charlotte Medical Logistics website and your requests for services from Charlotte Medical Logistics (“Charlotte Medical Logistics,” “we,” “us,” or “our”).
By using this website, submitting a request, or engaging Charlotte Medical Logistics for services, you agree to these Terms.
SERVICES
Charlotte Medical Logistics provides medical courier and healthcare logistics services, which may include:
Service availability depends on location, scheduling, capacity, material type, handling requirements, and other operational considerations.
SERVICE REQUESTS & QUOTES
Submitting a website form, requesting a quote, sending an email, or contacting Charlotte Medical Logistics does not guarantee acceptance or availability of service.
Quotes are based on the information provided at the time of the request. Pricing may change if the actual service requirements differ, including changes involving distance, number of stops, wait time, service urgency, schedule, package characteristics, handling requirements, or other circumstances.
A transportation request is not considered accepted until Charlotte Medical Logistics confirms the service.
CUSTOMER RESPONSIBILITIES
Customers are responsible for providing complete and accurate information regarding each transportation request, including:
Customers are responsible for ensuring that items tendered for transportation are properly prepared, packaged, sealed, labeled, and authorized for transport as applicable.
PROHIBITED & RESTRICTED ITEMS
Charlotte Medical Logistics reserves the right to refuse any item or transportation request that is unsafe, improperly packaged, inaccurately described, prohibited by law, outside the scope of our services, or otherwise inappropriate for transportation.
Certain materials may require advance approval or additional handling, packaging, documentation, or transportation procedures.
SPECIMENS & HEALTHCARE MATERIALS
Medical specimens and other healthcare materials must be properly packaged and prepared for transportation in accordance with applicable requirements and agreed client procedures.
Customers must disclose applicable handling, temperature, timing, documentation, and transportation requirements before service begins.
Charlotte Medical Logistics may refuse materials that are improperly packaged, leaking, damaged, unidentified, or otherwise unsuitable for transportation.
TEMPERATURE-CONTROLLED TRANSPORTATION
When temperature-controlled transportation is requested, the required temperature range and related handling procedures must be communicated before the service is accepted.
Specific temperature-control, monitoring, packaging, or documentation requirements must be agreed upon as part of the service arrangement.
CHAIN OF CUSTODY & PROOF OF DELIVERY
Depending on the service and customer requirements, Charlotte Medical Logistics may provide pickup documentation, chain-of-custody records, delivery confirmation, proof of delivery, or other transportation documentation.
Customers should identify specific documentation requirements before service begins.
DELIVERY TIMES
Pickup and delivery times may be estimates unless Charlotte Medical Logistics expressly agrees to a specific service commitment.
Transportation may be affected by traffic, weather, road conditions, facility delays, security procedures, accidents, emergencies, governmental actions, or other circumstances beyond reasonable control.
WAIT TIME & ADDITIONAL CHARGES
Additional charges may apply when a courier experiences extended wait time, additional stops, incorrect addresses, unsuccessful delivery attempts, after-hours requirements, changes to the original request, or other circumstances that materially alter the requested service.
Applicable charges should be communicated as part of the service arrangement when reasonably possible.
SCHEDULED COURIER ROUTES
Recurring routes may be governed by additional service terms, pricing, schedules, operating procedures, or written agreements.
Route schedules and pricing may be modified by mutual agreement when transportation requirements change.
Either party’s rights regarding modification or termination of an ongoing route may also be governed by the applicable service agreement.
PAYMENT
Payment terms are established when services are arranged and may vary depending on the customer, service type, frequency, and contractual arrangement.
Customers are responsible for charges associated with services they authorize.
